Clear Timelines for Safaris, Kilimanjaro & Prepaid Park Fees

Planning a Tanzania trip involves advance payments for national park permits, lodges, and logistics. Because many of these services are prepaid and non-refundable by third parties, our cancellation terms are clearly defined.

Why Cancellation Policies Are Strict

A large portion of your trip cost is paid in advance to secure national park fees, Kilimanjaro climbing permits, lodge reservations, and crew arrangements. These payments are often non-refundable and date-specific.

Standard Cancellation Timeline

More than 60 days before arrival

Cancellation fee: Deposit may be partially retained.
Remaining balance is refundable minus any unrecoverable costs (bank charges, supplier deposits already paid).

60 to 30 days before arrival

Cancellation fee: 30% – 50% of total trip cost.
Reason: Lodges and permits are already secured and partially paid.

29 to 15 days before arrival

Cancellation fee: 50% – 75% of total trip cost.
Reason: High likelihood that bookings cannot be resold.

14 days or less before arrival

Cancellation fee: Up to 100% of total trip cost.
No refund in most cases.
Reason: All services are fully paid and non-recoverable.

Kilimanjaro-Specific Considerations

Climbing permits and crew arrangements are particularly sensitive. Park fees are paid upfront to authorities and are generally non-refundable once booked. Crew and logistics costs are committed in advance, so late cancellations usually result in high penalties.

Safari Lodges & Camp Deposits

Luxury lodges and tented camps require deposits to confirm bookings. High-end properties often have non-refundable deposits, especially during peak season (June–October and December holidays), which has stricter terms and higher penalties.

National Park & Conservation Fees

Park fees paid to TANAPA and the Ngorongoro Conservation Area are date-specific, non-transferable, and generally non-refundable once issued. This applies to Serengeti, Ngorongoro, and Kilimanjaro National Park.

Changes vs Cancellations

Date or itinerary changes may be possible if requested early and are subject to availability and price differences. Some components (flights, lodges, permits) may not be changeable.

Force Majeure

We are not liable for changes or cancellations caused by natural disasters, government restrictions, strikes, or major travel disruptions. In such cases, we will make every effort to offer rescheduling or partial credit where possible.

Travel Insurance (Strongly Recommended)

Due to strict cancellation terms, we strongly recommend comprehensive travel insurance that covers trip cancellation, interruption, medical emergencies, and emergency evacuation (especially for Kilimanjaro).
