Booking Policy

Tanzania Safaris & Mount Kilimanjaro Treks

At Sirmella Adventure, we are committed to providing a seamless, transparent, and secure booking process. This policy outlines how bookings are confirmed, payments are handled, and what you can expect when planning your safari or Kilimanjaro trek with us.

1. Booking Confirmation

A booking is considered confirmed once a completed booking form has been submitted, the required deposit has been received, and you have received written confirmation from our team. All bookings are subject to availability at the time of confirmation.

2. Deposit Requirements

To secure your safari or trek:

  • 30% deposit for Tanzania safaris
  • 40% deposit for Mount Kilimanjaro climbs

Deposits allow us to secure park permits, lodge reservations, and mountain crew arrangements. Some luxury lodges or peak-season bookings may require higher upfront payments.

3. Final Payment Terms

The remaining balance must be paid 30–45 days before arrival. For last-minute bookings (within 30 days), full payment is required at confirmation. Failure to complete payment on time may result in cancellation and loss of deposit.

4. Accepted Payment Methods

We accept secure bank transfers (recommended for international payments) and credit/debit card payments (Visa & Mastercard). A small processing fee may apply for card payments. All payments are quoted and preferred in USD.

Note: Park fees and government charges are generally non-refundable once secured.

6. Changes & Amendments

Amendments are subject to availability and may incur additional costs. Date changes may be treated as cancellations depending on timing. Changes to routes, accommodations, or group size may affect the final price.

7. Travel Insurance (Mandatory)

All clients must have comprehensive travel insurance. For Kilimanjaro climbs, the policy must explicitly cover high-altitude trekking up to 6,000 meters and emergency helicopter evacuation. Proof of insurance may be requested before departure.

8. Health & Safety Requirements

For Mount Kilimanjaro, clients must be in good physical condition and disclose any pre-existing medical conditions. Our guides reserve the right to make safety decisions, including descent if necessary. Your safety is our highest priority.

9. Force Majeure

We are not liable for delays, changes, or cancellations caused by circumstances beyond our control, including extreme weather, natural disasters, government restrictions, or political instability. We will make every effort to offer rescheduling options.

10. Pricing, Currency & Final Notes

  • • All prices are quoted in USD unless otherwise stated
  • • Prices may be adjusted if government park fees or taxes increase after booking
  • • Once fully paid, your price is locked and protected
  • • We recommend booking 3–9 months in advance, especially for peak season (June–October & December–February)
